The report analyses the sender, number of opened and unopened emails, total mails, their sentiments, seniority level, busiest day, work hours, type of device used. This report enables the stakeholders to identify the internal communication method, person and department involved and guide them to optimize communication strategies and enhance overall performance and collaboration.
Following questions were answered by the report:
The communication pattern shows that total 1132 mails were exchanged between various departments in a month out of which 91.34% mails were opened by the recipient which indicates the effective engagement within the organization. Moreover, it can be identified 912 mails (81%) were sent during workhours and around 94% mails were sent on workdays Which indicates the employee engagement and dedication towards the task which can be completed in the available time. Also, Maximum number of employees around 860 used the desktop to read the email which helps to understand the user preference of the technology to accomplish the task and optimise the workplace process.
The daily mail pattern depicts that maximum number of mails sent on Thursday & Friday whereas considering workdays Monday is the least communicative day which depicts that organizations tends to close all the pending communication by weekend and optimizing the next week’s performance. On analysing day-to-day basis maximum mails sent during first 2 weeks of the month (4 Mar – 16 Mar) which highlights that organization makes plans and policies during this time and make collaboration and improve workplace performance.
3. Analyzing departmental communication, sentiments, sender & receiver details
From departmental communication pattern, it can be seen that Executive management sends maximum mails and Product development department receives maximum mails. Leonna McAree is the topmost sender whereas Jorey Deguara receives maximum number of emails. 58% mails are sent with neutral sentiment whereas 31% are positive. Maximum percent which is 68% are exchanged within same department. The most crucial email topic is Sales & marketing to discuss among the departments.
